LANDSCAPE ADMINISTRATIVE FACILITATOR


The Landscape Administrative Facilitator is central to everyday working of our landscape department. 

The Landscape Administrative Facilitator will be responsible for providing excellent customer service with every client contact while overseeing the administrative details of the department. The Landscape Administrative Facilitator will communicate daily with the designers to assess their various administrative needs. 


Essential Functions and Duties include, but are not limited to:

  • Field new client calls, information requests and scheduling consultation appointments.
  • Update clients as needed or requested.
  • Communication with current clients, vendors and subcontractors by phone or email
  • Maintain Google calendar of consult appointments and installation schedule.
  • Manage Dynascape 360.
  • Enter new client info into the database, and update the status of the consult/design/installation process. 
  • Assist with plant and installation materials, including sourcing and acquisition.
  • Collaborate with the Accounting department and Inventory Facilitator to ensure all SKU’s and prices on the plant lists are correct.
  • Manage client information, warranties, deposits and final billing. 
  • Provide daily administrative support to the Designers, data entry, scanning, faxing, printing, and retrieving printed plans at Duncan Parnell. 
  • Manage the landscape hold area.
  • Verify special order plants are pulled at the time of delivery and have been properly placed the landscape hold area.
  • Sort plants by project name and ensure all plants available and ready by the assigned installation date.
  • Daily monitoring of plant health, watering and pruning plants when necessary
  • Travel to other nurseries to retrieve plant orders, when necessary.


Requirements

  • At least 2 years of experience working with plant material and plant care.
  • Prior experience working at a plant nursery or in the green industry, preferred. 
  • Must be detail-oriented providing excellent service to a wide variety of client needs, preferences and budgets from first contact through design implementation.
  • Must be very organized, dependable and have superior time management skills.
  • Be flexible and able to meet deadlines.
  • Ability to thrive in a fast-paced environment, while managing various sized projects for multiple clients simultaneously.
  • Previous experience or current knowledge of grounds management, landscape and hardscape installation, materials and procedures, preferred.
  • Excellent oral and written communication skills, attention to detail, and dedication to client satisfaction.
  • Extensive experience using Microsoft Office, and Google email and calendar features.
  • Satisfactory Motor Vehicle Records check required.


Position Type/Expected Hours of Work

  • This is a Part-time Position (25-35 hours per week)
  • Business Hours of Operation: Monday-Saturday, 9 AM – 6 PM
  • Hours may be extended seasonally


Physical Demands

While performing the duties of this job, the employee is required to sit, stand and walk most of the day. You must be able to bend, stoop, kneel and reach. Occasionally, he/she must be able to crawl, climb or balance. Employees must frequently lift and /or move 25-50 lbs., with the aid of another employee or handcart.


Work Environment

This job operates in a professional retail, office, and outdoor environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Travel to and from client homes will be a part of this position. Employee may choose to drive a company vehicle or their own.
